The room should not be the hard part
Everyone has sat in the meeting where the first ten minutes go to figuring out the display. Someone tries three cables. Someone else dials in from a laptop and creates feedback. The people on the other end of the call cannot hear anyone sitting more than six feet from the microphone.
That is a design problem, not a user problem. Conference rooms fail predictably, and they fail for a small number of reasons that are entirely addressable at design time.
What we actually design for
Audio first. Audio is where most rooms fail and where most budgets get cut. Remote participants will tolerate mediocre video indefinitely and will disengage within minutes of straining to hear. We size microphone coverage to the actual room dimensions and seating, use ceiling arrays where the table layout will not support enough microphone positions, and account for acoustics such as glass walls and hard surfaces that create reverberation.
Cameras that follow the room. Modern auto framing cameras track whoever is speaking and adjust framing as people join or leave. For larger rooms, speaker tracking makes remote attendees feel like participants rather than observers watching a wide shot of a table.
One button to join. The single biggest determinant of whether a room gets used is whether starting a meeting is trivial. Calendar integration puts the meeting on the panel, someone presses join, the room comes on. If it requires more steps than that, staff will default to laptops and your investment sits idle.
Consistency. When every room in the building works identically, nobody has to relearn anything and support calls drop sharply. We standardize the interface across rooms even when the hardware differs by size.
Beyond the conference room
Digital signage. Lobby displays, wayfinding, menu boards, production dashboards and internal communications. We install the displays and players, set up the content management platform, and train your team to schedule content themselves. Properly done, signage is updated weekly. Poorly done, it shows a stale slide for two years.
Distributed audio. Background music and paging across offices, retail floors, restaurants and warehouses, zoned so the showroom and the loading dock are independent. Commercial systems with proper zone control, not a consumer speaker on a shelf.
Large format and video walls. Operations centers, showrooms, lobbies and training spaces where a single display is not enough.
Training and event spaces. Rooms that need to work for a presenter, a hybrid audience and a recording simultaneously.
The network is part of the AV system
This is the part that separates a working installation from a frustrating one, and it is why AV integrators who do not touch the network so often deliver rooms that disappoint.
Video conferencing is real time traffic. It is intolerant of jitter and packet loss in exactly the way VoIP is. A room with excellent hardware on a congested network segment will drop frames and garble audio, and no amount of AV tuning fixes it.
We design the room and the infrastructure underneath it together. Quality of service policies that prioritize real time traffic, AV devices on appropriate VLANs, sufficient bandwidth verified before installation, and structured cabling run to the right places at the right specification. Modern AV over IP in particular has real network requirements that have to be planned for rather than discovered.
Installation and afterward
We build racks properly. Cables are dressed and labeled, power is conditioned, ventilation is adequate and everything is documented. This sounds like a detail until somebody has to troubleshoot the room in two years.
Rooms are commissioned and tested with real calls before handover, not just powered on. We train your staff, and we leave a one page guide in each room for visitors.
Ongoing support means the rooms stay working. Firmware updates, periodic verification, and a number to call that reaches people who installed the system rather than a manufacturer’s general support line.
